Managing GWO Training Records and Renewal Reminders
Keep training records, participant details and renewal follow-up connected. A practical checklist for GWO training providers.

A renewal reminder is useful only when it is based on the right training record. Before automating messages, check how your team records the participant, completed module and relevant validity information.
Keep the participant and training record connected
GWO describes WINDA as the system where certified providers upload records for participants who have passed a training module. Its provider guidance lists the information required for uploads, including the participant’s WINDA ID and course code. See WINDA for training providers.
Keep the matching information in your operational records so the team can find the course, participant and completion details together. Make someone responsible for checking incomplete or inconsistent records.
Check the applicable standard
Do not apply one validity rule to every course. Use the current requirements for the relevant training standard and record the information needed to plan follow-up.
GWO updated several standards in March 2026; the announced transition period ended on 10 September 2026. Check the GWO standards update when reviewing older workflows and templates.
Separate renewal planning from eligibility checks
A reminder schedule is an operational choice. It is not evidence that someone is eligible for a particular refresher course. Check the applicable requirements when handling the booking.
For your reminder process, decide:
- Which record supplies the relevant date.
- Who receives the reminder: participant, company buyer or both.
- How far ahead you need to contact them to offer suitable course dates.
- Who reviews missing contact details or unclear records.
- How a new booking stops unnecessary follow-up.
Measure actual bookings
Track how many eligible contacts received a reminder and how many subsequently booked. Compare that with the time spent preparing and checking the campaign. Avoid treating every expiring record as guaranteed revenue: customers may change employer, role or training provider.
Start with a small group of records
Choose one course type and check its records before scheduling messages. Review the first batch manually, then look for gaps in the process. Expand once the team can explain where the dates came from and how new bookings are recorded.
